ZOHO Expert needed to setup an efficient & smart Project Management solution

Our company has a subscription to ZOHO One and is looking to hire a ZOHO expert who can suggest a solution that will help us be more productive and efficient and if needed help us customize the solution.

WE OFFER THE FOLLOWING SERVICES:
-design ads for 6 different newspapers
-send eblasts for 6 different newspapers
-perform other marketing projects such as web design, social media, graphic design and more

We need to be able to track all new ad requests from the time we first get the email request until the time that its finished. At all times we need to know the exact status. Since each ad and project is time sensitive, we need a portal where we can easily see the exact status of each ad and every project. We are also looking for a place to easily save all project related files and to insert project related comments. Each ad request should be categorized based on which newspaper its for.

Additionally, we have different project managers. Each ad or project will be assigned to a specific project manager however if that PM is out sick or on vacation, we need an easy way to re-assign it to a different PM.

Also, we need a solution that allows multiple PMs to be able to respond to emails or requests but the signature of the PM thats responding must appear. Thats important because it encourages our PMs to take pride in their work since their name is included in the emails that they send.

Looking for someone who will suggest better and smarter ways of doing things!
