Job Description:
We are seeking an Assistant to provide operational support to our Head of Operation, and Head of Product. This role requires strong calendar experience, attention to detail, solid organizational skills, and the ability to meet tight deadlines while juggling multiple critical requests. The individual in this role must demonstrate the ability to proactively anticipate and respond effectively and efficiently while maintaining flexibility and composure. The successful candidate will have a high level of integrity and discretion in handling confidential information as well as professionalism in dealing with executives inside and outside of the company and will possess the skills to complete tasks and projects with little to no guidance, react with appropriate urgency to situations which require a quick turnaround, and be able to take effective action without needing to now the complete picture.
Primary Responsibilities
- Complex calendar management for the assigned administrators which requires comfort in scheduling across domestic & international time zones, confidential meetings, internal and external facing high-visibility meetings, etc., in addition to meeting preparation
- Management of travel requirements and arrangements to domestic and international l locations
- Event planning for staff meetings, business events, external meetings
- Reporting, report writing, and document management
- Track all deadlines within company
- Coordination of business and personal calendars for both administrators
- Upkeep cloud documents
- Outreach on the behalf of administrators
- Follow up on the behalf of administrators
- Project Management (tracking key deliverables and action items, reporting, strategic planning, report management/creation, etc.)
- Drafting agreements from agreement templates
- Employee Morale (team events, celebrations, etc.)
- Independent problem solving on administrative issues
Additional responsibilities may be added based on company day to day needs and administrative needs
Basic Technical Qualifications:
Some experience assisting in a Business environment (complex calendar management, meeting coordination, travel coordination, event planning, etc.)
Some familiarity with Microsoft Office Suite (Outlook, Excel, OneNote, PowerPoint, and Word), G Suite, CRM Management programs, Asana, Box, Slack or any other tools.
